Overview
We are seeking a highly organised and proactive Project Officer to support the successful delivery of the Computer Aided Dispatch (CAD) Update project within the Regional Control Centre. The role will support project planning, coordination, stakeholder engagement, governance and implementation, helping to ensure the project is delivered on time, within scope, budget and to the required quality standards.
Working as part of the CAD Update project team, you will work closely with internal stakeholders, subject matter experts and external contractors to support system implementation, testing, data migration, training and project delivery.
Key Responsibilities
Project Planning & Delivery
- Support the development and implementation of project plans, ensuring objectives, deliverables and timescales are achieved.
- Assist with project specifications, requirements documentation and implementation planning.
- Work with subject matter experts to support data migration and User Acceptance Testing (UAT).
- Act as a key point of contact for contractors regarding system implementation, design and configuration.
- Support the Senior Project Manager throughout the project lifecycle, including development, implementation, closure and support.
- Maintain project documentation, including action, RAID and change logs, ensuring a clear audit trail.
- Monitor project progress against agreed scope, budget, quality standards and timescales.
- Support the management of project resources, dependencies and deliverables.
- Coordinate training activities for the CAD system upgrade, including scheduling sessions and liaising with attendees.
- Capture lessons learned and contribute to continuous improvement.
Stakeholder Engagement & Communication
- Support project communications and ensure stakeholders receive timely updates on progress.
- Work with internal and external stakeholders to understand and capture business requirements.
- Build and maintain effective working relationships with colleagues, suppliers and external partners.
- Support effective collaboration across project teams and stakeholders.
Governance & Risk Management
- Prepare documentation and support Project Board, Programme Board and Working Group meetings.
- Assist with the management of project risks, issues and mitigating actions.
- Ensure key risks and issues are escalated appropriately and monitored through to resolution.
- Support business case and change approval requirements where required.
- Ensure project activities comply with GDPR, data protection and relevant organisational policies.
Budget & Financial Support
- Assist the Senior Project Manager with monitoring the project budget and expenditure.
- Monitor spend against approved business cases and highlight potential variances.
- Support effective allocation and management of project resources in line with financial procedures.
General Responsibilities
- Provide support and cover for the Senior Project Manager where required.
- Undertake additional project work as directed and in line with good project management principles.
- Maintain effective relationships with colleagues, stakeholders and suppliers.
- Promote compliance with organisational policies, including equality, health and safety, data protection and freedom of information.
- Prepare meeting minutes and maintain accurate project records.
- Undertake other duties appropriate to the role and organisational requirements.
Person Specification
Essential Qualifications & Experience
Applicants must possess one of the following:
- Level 6 qualification (e.g. Degree or equivalent) in a relevant discipline such as Project Management, Business Management, Business Studies, Information Technology, Information Systems, Systems Management, Software Development or Software Engineering, and at least 1 year's relevant experience in a Digital/IT project support or coordination role;
OR
- Level 5 qualification (e.g. HND or equivalent) in a relevant discipline, and at least 2 years' relevant experience in a Digital/IT project support or coordination role.
Skills & Competencies
- Excellent planning, organisational and time management skills, with the ability to work under pressure.
- Strong communication skills, both written and verbal.
- Ability to develop effective working relationships and collaborate with stakeholders at all levels.
- Ability to provide accurate and timely information.
- Strong attention to detail and project coordination skills.
- Proficient in Microsoft Office, including Word, Excel, PowerPoint and Outlook.
- Experience with Management Information Systems.
- Ability to support multiple project activities and priorities effectively.
Other Requirements
- Full current UK/EU driving licence and access to a car or suitable personal transport for official business use.
