Duration: 2 months with the possibility of extension  

Location: North London 

Hours: Monday to Friday, 9am – 5pm (fully onsite) 

Pay: £15.40 - £18 per hour inclusive of holiday pay depending on experience 

The Post

The Information Governance Officer will support the team in the delivery of the strategy and compliance programme.

This role is responsible for managing the day-to-day operational enquiries within the organisation relating to compliance with Information Governance and Data Protection requirements.

The post holder will monitor, coordinate, and process all requests under the Freedom of Information Act (FOI) and Environmental Information Regulations, ensuring adherence to the Trust’s procedures for handling such requests.

They will also support the delivery of Data Security Awareness training, assist with the annual Data Security & Protection Toolkit, undertake audits, and deputise for the Information Governance Compliance Officer when required.

Additionally, the post holder will provide administrative and secretarial support to the IG Team, including meeting coordination, minute-taking, and maintaining accurate records and data flows.

Main Responsibilities

  • Act as the first point of contact for Information Governance enquiries, including confidential matters, escalating appropriately.
  • Monitor, coordinate, and process requests received under the Freedom of Information Act 2000, producing performance reports and escalating any issues to the Information Governance Manager.
  • Support the production and collection of evidence to demonstrate compliance with the Data Security & Protection Toolkit.
  • Deliver or assist in delivering Data Security Awareness training sessions across the organisation, including induction, mandatory, and ad hoc sessions (both face-to-face and online).
  • Create FOI performance reports for the SIRO, Head of Information Governance, and Information Governance Committee.
  • Assist with the development, review, and maintenance of policies, procedures, and learning materials.
  • Support Information Asset Owners and Administrators in maintaining data flow maps and ensuring accurate information asset management.
  • Provide administrative and secretarial support for the Information Governance Team, including arranging meetings, preparing agendas, taking minutes, and tracking actions.
  • Maintain the Information Governance and Caldicott enquiry logs and ensure the knowledge management database is regularly updated.
  • Support the investigation and reporting of IG-related incidents. 
  • Support the coordination of Data Protection Impact Assessments (DPIAs) for new and existing systems or processes involving personal data.
  • Plan, organise, and coordinate Information Governance Committee meetings, preparing and distributing papers, maintaining action trackers, and minuting discussions.
  • Attend meetings on behalf of the IG team when required.
  • Undertake audit activity in relation to information governance processes and compliance.
  • Support the IG team with identifying data flows, information assets, and associated risks.
     
     

 

Person Specification

Education / Qualifications

Essential:

  • First degree or equivalent experience of working in an Information Governance role

Desirable:

  • Knowledge of the Data Security & Protection Toolkit
  • Knowledge of key legislation, especially the Data Protection Act 2018
  • ISEB in FOI (or working towards)

 

Experience

Essential:

  • Experience of working in the field of Information Governance or a similar governance/compliance area
  • Experience of supporting meetings and taking minutes
  • Experience of undertaking audits
  • Experience of responding promptly to queries and capturing information into written responses
  • Significant office administration experience, including diary management and meeting organisation
  • Experience of summarising and recording key information from complex conversations
  • Ability to work with minimal supervision, using own initiative and prioritising workload
  • Experience preparing agendas, writing reports, and tracking actions
  • Strong written communication skills (e.g. minutes of meetings, web copy, collation of guidance)
  • Experience administering web-based tools such as the IG Training Tool and Information Governance Toolkit

Desirable:

  • Experience dealing with complex issues and identifying key information
  • Experience liaising with a range of internal and external stakeholders, building effective working relationships

 

Knowledge

Essential:

  • Excellent verbal and written communication skills, with the ability to present technical subjects clearly and accessibly

Desirable:

  • Understanding of Information Governance-related legislation and standards (Confidentiality, Data Protection, Records Management, Information Sharing, Privacy, etc.)
  • Knowledge of Information Security principles
