Post Summary
The post holder will provide high-quality, confidential, and comprehensive Executive PA support to the Hospital Managing Director (HMD), Chief Operating Officer (COO), and their Deputies as required, as well as contribute to the wider Executive PA team.
This is a demanding role requiring exceptional organisation, communication, and IT skills. The post holder will support the Executive Directors in achieving their objectives, manage key projects and reports, and act as a professional representative of the Directorate both internally and externally.
The role requires the ability to work under pressure, prioritise competing demands, and exercise discretion and diplomacy when liaising with Executive Directors, Non-Executive Directors, senior stakeholders, and external partners.
Main Duties & Responsibilities
- Provide a comprehensive Executive PA and secretarial service, including extensive diary and inbox management.
- Manage and maintain the Executive Walkaround schedule and On-Call rota for the Executive team.
- Prepare correspondence, documentation, reports, and briefing papers on behalf of the Executive Directors, ensuring accuracy and professional standards.
- Assess, prioritise, and manage incoming communications, dealing with matters proactively where appropriate.
- Develop a working knowledge of key issues facing the Directorate and produce executive summaries to keep Directors fully briefed.
- Establish and maintain an effective document management system for the Directorate.
- Coordinate and produce reports, policies, and plans, ensuring version control and accurate tracking of changes.
- Liaise effectively with stakeholders at all levels, acting as the first point of contact for the Executive Directors and Deputies.
- Undertake data and information analysis, supporting projects with risk and action log management.
- Plan and coordinate meetings, events, and committees (weekly, monthly, quarterly, annually), including agenda preparation, circulation of papers, and accurate minute-taking.
Experience
- Degree-level qualification or equivalent experience.
- Significant experience supporting senior leaders at Executive/Board level.
- Strong background in PA/EA roles with extensive diary and office management experience.
- Experience in project/change management environments (desirable).
- Demonstrated success in delivering projects and workstreams on time and to standard.
- Committee servicing experience, including drafting agendas, taking/transcribing minutes, and managing action trackers.
- Proven experience in producing briefings, summaries, and reports for senior stakeholders.
- Experience managing confidential information with discretion.
- Excellent IT skills (Microsoft Word, Outlook, PowerPoint, Excel, SharePoint, MS Teams).
