Typist / Clerical Support Officer
JOB SUMMARY:
The post holder will provide a comprehensive administration and clerical service to the Consultant team / clinical professional team. The post holder will be able to exercise initiative suitable to the role and is fully supportive to other colleagues in the administrative team. The post holder will also be expected to organise own workload to maintain an efficient and professional service. Competent computer and audio-typing skills are essential and a cheerful, flexible approach to the workload is necessary.
This is a busy role which will involve multitasking with ever-changing priorities.

Hours / Working Days: 37.5 hours per week / Monday to Friday, 9am – 5pm

MAIN DUTIES & RESPONSIBILITIES:
- To assist the clinical team by providing a comprehensive secretarial service, typing and distribution of documents and reports, recording information and filing, ensuring that all information and documentation is produced to expected standards of performance, and according to agreed timescales.
- Maintain systems and process to ensure that patient information/data is available at the right time, that they are in the right place, and that they are complete and accurate according to the agreed quality standard.
- Update patient information/data when patients have been seen, according to the agreed quality standard, locate and retrieve supplementary documentation for patient information/data as required.
- Maintain the case note tracking system, ensuring that is functioning correctly, promptly solving and/or reporting difficulties and hold-ups.
- Be able to use the required electronic systems for correspondence, clinic management and the retrieval of results, as and when required.

- Divisions and externally to improve the effectiveness and efficiency of services to patients.
- Establish and maintain effective communication, and confidentiality of information.
- Ensure compliance with Trust policies, procedures and guidelines, taking action/alerting senior management team if practice appears to contravene policy, or if concerned about any aspect of patient care.
- Type clinic letters using the digital dictation system. A minimum of 45 wpm typing speed is essential for this part of the role.
- To carry out other clerical duties as required; this may include the opening and sorting of post.
