Executive Assistant
The primary function is to provide an efficient, effective and high quality administrative and secretarial service for members of the Board of Directors. You will have identified Directors/Deputies to support, whilst working as a team with other Corporate PA’s, you will ensure that all Board members receive a seamless service. The role requires a proactive approach and commitment to continuously improving the service provided. It encompasses meeting administration, minute taking, diary and email management, and using initiative to resolve day to day issues. Advanced skills in MS applications are essential.

Pay Rates: £14-16 per hour PAYE inclusive of holiday pay
Hours / Working Days: 37.5 hours per week / Monday to Friday, 9am – 5pm

Job Responsibilities:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Draft and proofread emails, memos, and other communications on behalf of executives.
- Arrange and manage detailed travel plans, itineraries, and agendas.
- Plan and coordinate executive meetings, conferences, and events. Prepare agendas, take minutes, and follow up on action items.
- Arrange catering, venue bookings, and other logistical details.
- Conduct research, compile data, and prepare reports for executive decision-making. Track project progress and ensure deadlines are met.
- Maintain and organise the executive’s office environment, ensuring it is tidy and functional. Manage office supplies and equipment, coordinating maintenance and repairs as needed.
- Monitor and reconcile expense reports, budgets, and financial documents.
- Handle invoicing, billing, and other financial transactions related to executive activities.
- Troubleshoot basic technical issues and liaise with IT support as needed.
Skills and Experience
- Previous experience as a PA in a commercial environment / Healthcare environment desirable
- Anticipates needs and takes initiative.
- Remains flexible and adjusts to changing priorities
- Reliable and trustworthy, with a strong work ethic
- This role requires a dynamic and self-motivated individual who can support executives efficiently and contribute to the overall success of the organization.
