Main Purpose
The TSS Compliance Coordinator is a key member of the Temporary Staffing Service, responsible for:
- Providing comprehensive HR and onboarding administrative support to the TSS and the Trust’s temporary workforce.
- Maintaining efficient systems to ensure all temporary workers meet compliance requirements relating to onboarding, training, registration, and ongoing engagement.
- Supporting the delivery of a high-quality service while maintaining excellent standards of compliance and data quality.
- Contributing to the implementation of efficient and consistent procedures, identifying service improvements where appropriate.
- Acting as a first point of contact for onboarding, training, bookings, and other temporary staffing queries, demonstrating Trust values and behaviours at all times.
Key Responsibilities
- Ensure all temporary staff meet Trust compliance requirements, including:
- Mandatory and statutory training
- Professional registration
- Criminal record checks (DBS)
- Immigration status/right to work
- Identity verification
- Liaise with agencies to verify compliance with contractual requirements, including onboarding new workers and conducting spot-checks on existing staff.
- Coordinate with internal bank applicants to obtain and confirm pre-engagement compliance information.
- Work with the Bank Recruitment Team to ensure a robust and consistent recruitment check process.
- Assist with access and logins to HR systems (Health Roster, Loop, ESR).
- Provide administrative support, including data cleansing, filing, diary management, post distribution, and mailbox management.
- Work closely with wider HR teams (Education & Training, Occupational Health, Payroll) to maintain accurate and up-to-date data systems.
- Prepare ad-hoc and regular compliance reports as required.
- Communicate professionally with staff, managers, and external contacts at all levels, maintaining confidentiality.
- Respond promptly to emails and telephone enquiries within departmental guidelines.
- Provide clear guidance on temporary staffing processes, including onboarding, pre-engagement checks, and training requirements.
- Act as first-line contact for HR and payroll queries for temporary staff, resolving issues efficiently.
- Ensure accurate entry of information into HR systems and maintain compliance with KPIs.
- Proactively plan, prioritise, and manage workload, escalating issues where necessary to prevent impact on staffing or service delivery.
- Support timely review and approval of worker compliance to enable safe staffing Adhere to Trust policies, procedures, and the NHS Employment Check Standards.
- Ensure safe and effective use of office equipment and promote sustainable digital working practices.
- Maintain records in accordance with GDPR and departmental procedures.
- Provide routine HR advice on bank and agency onboarding and compliance policies.
- Create and maintain accurate records on ESR for the temporary workforce.
- Undertake mandatory induction and statutory training.
- Provide guidance to new team members and cover colleagues as required.
- Use Microsoft Office and Trust HR/temporary staffing systems efficiently.
- Manage retention, archiving, and deletion of temporary staff information in line with GDPR.
- Maintain and update spreadsheets, databases, and reports as required.
